Everything We Need Before Your Wedding Day
As your wedding approaches, there are a number of final details that our Wedding Team will need to bring everything together. This guide explains what to submit, when it is required and how each part of your celebration will be coordinated.

Where possible, please send all final wedding details in one complete email to your Wedding Coordinator rather than across several separate messages. Your Wedding Coordinator will confirm receipt of your final details.

Keep these important deadlines in mind as your wedding day approaches.
Six Weeks Before
Finalise Your Bedroom Allocation
Ensure your wedding guests have reserved the bedrooms included in your allocation and provide the completed guest bedroom list. Any unreserved rooms may be released for general sale after the six-week release date.
Two Weeks Before
Submit Your Main Wedding Details
Please confirm your draft guest numbers, final menu selections, dietary requirements, children’s meals and evening food requirements.
This is also the time to confirm your supplier details, ceremony arrangements and proposed wedding-day timings.
One Week Before
Table Plan and Final Payment
Your completed Moposa table plan and final wedding balance are due one week before your wedding.
72 Hours Before
Confirm Your Guaranteed Numbers
Your final guaranteed guest numbers must be confirmed no later than 72 hours before the wedding. Reductions after this point will still be charged at the confirmed number. Any additional guests attending will be added to the final account.
The Day Before
Deliver Your Personal Items
Favours, place cards, memorial photographs, candles, sweets, jars, cake-display items and other personal decorations should be clearly labelled and delivered to Reception the day before your wedding.
The Morning After
Collect Your Belongings
All personal belongings, decorations and leftover wedding cake must be collected the morning after the wedding. Amber Springs Hotel cannot accept responsibility for items left behind or retained after the agreed collection time.

Guest Numbers
Amber Springs Hotel wedding celebrations operate with a minimum guaranteed number of 120 guests, subject to the terms of your wedding agreement.
Draft numbers should be submitted two weeks before your wedding. Your final guaranteed numbers must be confirmed no later than 72 hours before the wedding.
If your numbers reduce after the final confirmation, you will still be charged for the confirmed number. If additional guests attend, they will be added to your final account.
Adults, children, babies and evening guests must be recorded separately. Wedding suppliers are not included in the main guest count.
Your Table Plan
Your completed table plan must be submitted through Moposa one week before your wedding.
Please include every guest’s name and the total number of guests seated at each table. Tables can accommodate a maximum of 10 guests.
Highchairs must be clearly marked. Dietary requirements, allergies, intolerances and coeliac requirements must also appear beside the relevant guest’s name.
Amber Springs Hotel will prepare your printed table plan, menus and table numbers. Couples should provide their own place cards where required.
Menu Choices and Evening Food
Your final menu choices will be agreed during your planning meeting with your Wedding Coordinator and must be confirmed two weeks before the wedding.
The agreed wedding menu is normally served to all guests. Alternative choices may be offered where this has been arranged with the Wedding Coordinator in advance.
Children’s meals, vegetarian and vegan meals, dietary requirements and evening food numbers should also be confirmed during your planning meeting.
Wedding suppliers will normally arrange and purchase their meals in the hotel bar unless an alternative arrangement has been agreed.
Dietary Requirements and Allergies
We will make every reasonable effort to accommodate dietary requirements.
Allergies, intolerances and coeliac requirements must be clearly identified beside the relevant guest’s name in Moposa and discussed with your Wedding Coordinator.
Please distinguish medical dietary requirements from personal food preferences. Late changes should be communicated immediately, and our team will do everything reasonably possible to assist.
Bedrooms and Guest Accommodation
Your wedding bedroom allocation includes up to 25 rooms. Guests should reserve their rooms directly through the Amber Springs Reservations Team.
The couple should provide the completed guest bedroom list and ensure all rooms are booked before the six-week release date. Any unreserved rooms may be released for general sale after this date.
Guest names may be changed by the couple before arrival. Once a bedroom deposit has been paid, responsibility for the remaining payment rests with the individual guest.
The Bridal Suite is complimentary on the night of the wedding. Two parent bedrooms are also included, subject to the terms of your wedding package.
Early check-in and accessible room requests are subject to availability and should be made through Reservations. Breakfast is served daily, with room service breakfast also available.
Wedding Supplier Details
Please provide the following information for each external wedding supplier:

✓ Arrival and setup time
✓ Collection time
✓ Insurance documents, where required
Suppliers may only access the function room on the wedding day at the agreed setup time.
Suppliers must provide their own equipment and notify the Wedding Coordinator in advance of any electrical, access or setup requirements.
Ceremony Arrangements
Ceremony arrangements will be discussed during your planning meeting. This includes your celebrant or registrar details, estimated guest numbers, ceremony music, reserved seating, décor and signing-table requirements.
Couples should provide any candles required for the ceremony.
We generally recommend a ceremony start time of 2:00pm to allow the remainder of the day to flow comfortably.
Couples may plan for an outdoor ceremony, with an indoor backup arrangement agreed in advance. The final weather decision will be made on the morning of the wedding in consultation with the hotel team.

Amber Springs Tip
We generally recommend holding speeches after the meal. This allows guests to enjoy dinner without delays and helps the evening celebrations begin on time.
Favours, Decorations and Personal Items
Favours, place cards, memorial photographs, candles, cake-display items and other personal belongings should be clearly marked and delivered to Reception the day before the wedding.
Every box must be labelled with the couple’s names, wedding date, contents and clear setup instructions.
We recommend nominating a member of the wedding party to oversee the placement of personal items. Your Wedding Coordinator will assist where possible.
Balloons, audio guestbooks and photobooths are welcome by prior arrangement. Sparklers may only be used outside.
Amber Springs Hotel provides a sweet cart. Couples should provide their own sweets, jars and serving items.
Amber Springs Hotel will print the wedding menus, table numbers, table plan and welcome signage.
Wedding Cake Delivery
Your wedding cake should be delivered directly to the function room on the wedding day and handed over to the Manager on Duty.
Refrigerated storage is not available, so your cake supplier should ensure the cake is suitable for room-temperature display.
Amber Springs Hotel provides a cake stand and cake knife. Our team will cut and serve your wedding cake without an additional service charge.
Any leftover cake must be collected the morning after the wedding.
Payments and Additional Charges
The wedding payment schedule is:
✓ €1,000 booking deposit
✓ 25% nine months before the wedding
✓ 25% six months before the wedding
✓ 25% three months before the wedding
✓ Final balance one week before the wedding
All standard payment methods are accepted.
Additional guests, food, drinks or extras added after final payment will require payment and will be included in the final account where applicable.
Additional charges may be settled the morning after the wedding. A payment card will be held securely on file, and the final invoice will be issued to the couple.
